OEM Guidelines

1. Selection of OEM’s for Invitation to GTUI

a. OEM’s are invited to attend GTUI and participate in presentations, Roundtables and other activities at the sole discretion of the GTUI Board of Directors

b. OEM’s whose equipment has significant representation in the stationary and marine propulsion markets and whose Users of such equipment attend GTUI in significant numbers may request that the GTUI Board of Directors consider inviting the OEM to participate in GTUI. Such request does not imply an automatic invitation. Invitations will be extended based on representation of the OEM’s equipment among the User Voting Members of GTUI.

c. OEM’s should have at least one representative from each of their licensed international overhaul, repair, and/or service shops as a full member of their delegation to each GTUI conference.

2. OEM Presentation Guidelines

a. GTUI meetings and all presentations will be conducted in English.

b. OEM presentations, whether to the entire GTUI or to a Roundtable, must focus on technical matters and hold any sales oriented content to an absolute minimum. The focus must be on User issues and solutions and be based on technical response to User needs.

c. OEM presentations should fully address User questions tendered either at the GTUI or in previous sessions.

d. OEM presentations must be made available either as printed matter suitable for distribution to all attending GTUI members (except other OEM’s) or (preferred) as a CD or other industry standard electronic media suitable for distribution to all GTUI attendees (except other OEM’s)

e. Presentations at GTUI are not confidential and presentation documents must be distributed at GTUI. Follow-up content may be posted on an OEM’s website if appropriate as long as access is provided for all GTUI voting members.

f. OEM’s presenting at GTUI must ensure that all presentation materials intended for attendee distribution are suitable for the public domain as GTUI has no control over attendees use of OEM materials after the GTUI conference. OEM’s may show undistributed sensitive information during their presentations with appropriate notice to attendees. Such sensitive information will not be a part of the distribution in 2d above.

g. GTUI will make reasonable efforts to monitor and restrict proper access to OEM presentations and will prohibit unauthorized video and audio recording of any session, including Roundtables, as a condition of attendance.

h. In addition to (g) above, the OEM may restrict access to their main technical presentation at GTUI. Such access restrictions must have an agreed basis determined in advance and be known to GTUI members in advance; not be used in an arbitrary fashion; and be discussed and agreed in advance with the OEM Liaison Officer. Access to OEM sessions will not be arbitrarily denied to non-Users of the OEM’s equipment provided that the person(s) in question is not a competitor of the OEM and does not have a history known to the OEM or GTUI of using conference information in inappropriate ways.

i. OEM’s have no claim to nor may they assert any proprietary content limitation on attendee’s handwritten notes and subsequent use of such personally generated information.

j. OEM’s cannot control attendance at Roundtables. OEM’s may discuss concerns about Roundtable attendees with the Roundtable Chair and OEM Liaison Officer, but the final decision on attendee’s rests with the Roundtable Chair.

k. Due to the assumed international attendance at any session, presentations and discussions should not disclose any information that is subject to Export Controls (e.g., Export Administration Regulations of the USA)

3. OEM Technical Content

a. Information supplied to GTUI voting members (except other OEM’s) must focus on technical content and answers to User issues. Sales literature and filler material is permitted only if appropriate technical content has been supplied and issues addressed.

b. Subject to the limitations above, OEM’s are encouraged to provide appropriate current sales and technical information to GTUI attendees as part of their electronic distribution.

c. OEM personnel are expected to demonstrate professional behavior at all times toward other OEM’s on site. Behaviors including but not limited to attempting to attend other OEM presentations without express approval or attempts to obtain other OEM materials without express approval of the OEM in question will be considered a serious ethical breach of GTUI guidelines. Such breach will be reported by the GTUI Board of Directors to the offender’s executive management with a request for immediate removal from the GTUI conference and is grounds for immediate withdrawal of the individual and/or OEM’s invitation to GTUI. Suspension or long term prohibition on GTUI conference attendance for either the company or individual may be imposed at the discretion of the GTUI Board of Directors.

4. Hospitality Suite and Social Event Guidelines

a. The goal of the GTUI is improvement of User technical, operations and maintenance practices; the resolution of gas turbine technical issues; and networking within the gas turbine community. Social and Hospitality Suite events can contribute to these goals but must not detract in any way from the goals or become the focus of OEM participation. Professional conduct and emphasis on technical and operations content are required at all times.

b. GTUI events, including OEM sponsored activities, are intended to be suitable for spouses and other guests. Conduct and other activities including performances at Hospitality Suites and Social Events must comply with current USA guidance on discriminatory behaviors and must respect the diversity of all attendees at the event.

c. The opportunity to sponsor certain signature activities including joint naming rights with GTUI (such as any GTUI golf tournament or other social event intended for all GTUI attendees) will be offered to the highest sealed bid by an Invited OEM on a multi-year block basis. Payment schedule will be negotiated with the GTUI Board of Directors.

d. The Opening Night Reception for User attendees and the Closing User Banquet will not be available for sponsorship by OEM’s.

e. The Annual Conference Chair will coordinate Hospitality Suite scheduling and other social events during the annual event. Reasonable attempts will be made to minimize scheduling conflicts. No social event or Hospitality Suite may be scheduled by a participating OEM during the GTUI annual event without the written approval of the GTUI Conference Chair.

f. Hospitality Suites and social events will not be held during GTUI sessions or during regularly scheduled Roundtables.

g. Hospitality Suites will be held only at the GTUI Conference venue.

h. OEM’s may include sales and promotional material in their Hospitality Suites

i. OEM’s may control attendance at their Hospitality Suites.

j. GTUI scheduled social events, which may be sponsored by one or more OEM’s or GTUI, will be open to all GTUI attendees.
